The sensible first question is therefore not “Which business visa is fastest?” It is “What will this person actually do in Vietnam, for how long, and with which local host?” 1

For a short commercial visit, the factual record should be straightforward: meetings, site observation, relationship building, negotiation, a trade event, or a limited exploratory visit. A different screen is needed when the itinerary begins to resemble an assignment: managing local operations, delivering services, training, installation, ongoing operational responsibility, or a relocation. Labels in an invitation, job title, ticket class, or internal travel policy do not settle that question. The activity, employer and host facts do.

This distinction keeps three separate decisions visible. First, determine whether the passport holder can use a visa exemption, an individual e-visa, or needs a host-led route. Choose the route after purpose screening

The correct route follows the facts, not a marketing label. Start by writing a short purpose statement that can be used consistently by the traveller, overseas employer and Vietnamese host. Then check nationality and passport type against the Ministry of Foreign Affairs list, because exemptions differ by passport type, duration, purpose and other conditions. A visa-free entry may reduce an entry-document step, but it does not remove the need to assess planned activities. 6

If no confirmed exemption fits, an individual who is outside Vietnam may be able to use the official e-visa channel at evisa.gov.vn. The Immigration Department states that the e-visa can be issued for up to 90 days, for single or multiple entry, subject to its conditions and entry controls. E-visa users must enter and exit through Government-designated international border gates, so the selected point should match the itinerary before payment. The official government fee shown is US$25 for single entry and US$50 for multiple entry; the portal says the fee is non-refundable if the visa is not granted. 278

How sponsor readiness works

A Vietnamese host should be treated as an active compliance owner, not simply as the name on a meeting invitation. Under the MPS electronic procedure, an inviting or guaranteeing organisation uses an assigned electronic account to enter the foreigner’s information. The organisation must use an electronic signature in accordance with the Electronic Transactions Law to confirm the request. The procedure identifies Form NA2 as the core request and requires prior organisation materials: a certified copy of its establishment licence or decision, plus a document introducing the seal and the authorised signatory. 3

Create a controlled sponsor evidence record

A sponsor file should show a controlled version of the trip facts, not a collection of separate emails. The MPS procedure identifies the organisation’s electronic account, electronic signature, Form NA2, establishment material and seal-signature introduction as part of its corporate process. That means the Vietnam host should confirm which legal entity is acting, who may approve the request, and whether the person preparing the submission is using the same entity details throughout. Where a group has a local subsidiary, representative office, distributor or project partner, do not let a commercial contact be described as the sponsor until the responsible organisation has confirmed its role and readiness. The travel manager can then maintain a short evidence register that locks the traveller’s passport identity, nationality and passport type, purpose statement, host entity, proposed dates, requested entries, collection location, accommodation contact and named internal owner. This is a control record, not an extra government form. Its value is that changes become visible: a revised meeting plan, a new installation task, a different collection point or an extended visit should trigger a route and work-authorisation recheck before anyone resubmits or travels. The official e-visa portal likewise states that activities in Vietnam must accord with the entry purpose, so the purpose statement must be accurate rather than deliberately broad. [2][3]

An itinerary, commercial meeting agenda or host confirmation can explain why a business visit is proposed; they do not themselves determine the immigration outcome or authorise work. Conversely, a sponsor’s procedural preparation is not evidence that a foreign-worker review has been completed. Record the two decisions separately, retain the final official instruction or issued document, and give the traveller only the current, approved version of the trip pack. This creates an auditable hand-off between the business owner, Vietnam host, mobility desk and HR or compliance reviewer without implying that a standard invitation letter can cure an activity mismatch. The MPS page shows a procedural time limit of no more than five working days after receipt of a complete dossier when the foreigner will collect a visa at a competent Vietnamese authority overseas, and no more than three working days after complete documentation for collection at an international border gate. It also identifies a narrow 12-working-hour pathway for specific Article 18 cases. These are official procedural clocks, not airline-ready guarantees. Fourth, HR, legal or the appropriate compliance owner should make a documented work-authorisation screen. The right output can be “short business visit; reassess if activities expand,” “no travel until a current worker-authorisation review is complete,” or “seek specialist confirmation.” Fifth, the travel desk should preserve the final approved route, entry point, validity dates and collection instruction. The traveller should carry the relevant travel and residence documents and be able to explain the stated purpose accurately if asked. 12

Common mistakes to avoid

Treating “business visa” as a work permission. This is the central mistake. A business reason for travel does not remove the need for a separate foreign-worker assessment when the actual activities may constitute work. Screen the role first and repeat the screen if the plan changes. 24

Using a tourism-specific or visa-exempt entry condition without checking purpose. The Ministry of Foreign Affairs list contains passport-type and policy notes, including exemptions with distinct conditions. Do not turn a country list into a universal business-travel approval. Assuming “visa on arrival” means a walk-up airport solution. The MPS process describes corporate electronic clearance, official results and collection routes; it does not support a blanket airport-visa promise. Do not buy travel on an assumed airport route before the case and collection instruction are confirmed. 310
